2. How We Process Data Across Our Services

Category A: Public Automotive & Car Show Photography

• Data Collected: Images of vehicles, passengers, drivers, and visible Vehicle Registration Marks (number plates).
• Lawful Basis: Legitimate Interests. It is in our legitimate commercial interest to capture, display, and sell automotive photography to event attendees and car enthusiasts.
• Special Note on Number Plates: We acknowledge that vehicle registration plates are classified as personal data under UK law. We do not link number plates to DVLA records or look up owner identities. However, because they are displayed publicly on our storefront, we respect your right to object and will quickly blur or delete plates upon request.

Category B: Schools, Nurseries, and Youth Dance Shows

• Data Collected: Portraits and action photographs of children under the age of 18.
• Lawful Basis: Explicit Consent. We operate a strict policy for youth events: we will never photograph or publish identifiable images of children in educational or performance settings without prior written consent from a parent or legal guardian.
• Consent Management: Consent forms are handled directly via the organizing nursery, school, or dance academy prior to the event date. Parents hold an absolute right to withdraw consent at any time.

3. Third-Party Hosting and Sales (Zenfolio)

We use a secure, specialist third-party platform, Zenfolio, to host our online galleries, manage digital downloads, and process commercial photo print orders.

• Data Sharing: When you browse or purchase images, Zenfolio securely processes your transaction details, email address, and delivery information on our behalf.
• Security & Access Control: For delicate environments (such as schools, nurseries, and dance recitals), we use Zenfolio's built-in security features, including password-protected, private, or hidden galleries to ensure only authorized families can view the photographs.

4. How to Exercise Your Rights (Removal & Deletion)

Under the UK GDPR, you have the right to control how your image (or your child's image) is shared online.

• For Public Automotive Events (Right to Object): If your vehicle, number plate, or face is visible on our public gallery and you want it removed or blurred, you have the right to object. You do not need a legal reason.
• For Schools/Dance Shows (Withdrawal of Consent): If you previously granted permission for your child's photo to be hosted or sold, you can change your mind and withdraw consent at any moment.

The Removal Process

To request an image removal or to request that a number plate be blurred:

1. Send an email to [email protected] with the subject "Image Deletion / Blur Request".
2. Provide the gallery name and the unique file name or photo number.
3. We will remove the photo from public display or permanently blur the identifying markers within 48 hours of receiving your notice.

5. Data Retention

We retain photos within our active Zenfolio system for as long as galleries remain commercially active or as contractually agreed with specific nurseries and dance schools. Archived images are held securely on offline drives and are subject to strict access controls.
